To Check Out a File from a Document

  1. Ensure that the appropriate document appears in the Content pane.
  2. Click the Action Bar Check Out icon or right-click the file and select Check Out.

    The Checkout dialog opens.

  3. Place a check next to each file that should be checked out.
    Note: Checking the box next to the document name at the top of the tree will select all files attached to the document.
  4. Change the Checkout Location path if the information should be sent to a network directory other than the default directory.
  5. Select the appropriate options as required.
    Note: Selecting the Show All Files check box displays all files related to the document as well as all files that have been marked for checkout. Deselecting the option filters the list to only those that are being checked out.
  6. Select OK.

    AssetWise warns you that the document is checked out by placing lock icons over the document and file icons. The checked out document will also have a "Checked Out" status (displaying who has the document checked out) and a Document Status of "Changing".

  7. Locate and edit the files using the native authoring applications from either the default location or the path name specified in Step 4 being sure to save all changes prior to exiting.
  8. When all changes have been made, click the Check In icon, or right-click the file and then select Check In.

  9. Select files to be checked in being sure to delete old and local file copies if applicable and click OK.

    The files selected will now be checked in. The lock graphic will be removed from document wherever it appears (in Explore, Favorites, and so on).

    Note: By clearing the Delete Old Files check box, AssetWise marks the previous version file as "eB Historic 001" and hides the old files from general viewing. These files can be seen by going to the document copy and expanding the Files topic.
